Office Administrator Position at the KfW Bank in Nairobi

KfW Office Nairobi is opening the position of an Office Administrator  (full time basis). The position includes secretarial tasks  as well as travel management, office management,   office   procurement  and  accounting.

Secretarial Tasks: The Office Administrator  is the first point of contact for KfW’s clients and stakeholders and is responsible for:

  • Reception of visitors, take care of reception area
  • Electronic filing,  maintaining  the  office  diary  and acting  as first  contact  person for the office for any external enquiries
  • Writing and drafting correspondence,  reports, forms and other documents.
  • Maintaining  a good working  relationship with internal stakeholders  and  KfW’s main partners in the region
  • Organise  meetings, follow-up  meeting requests

 

Schedules, Travel management, Missions and Events:

  • Organise  frequent  trips  of  the  office  members  with  hotel  and  flight  booking  and prepare travel settlement
  • Support to any KfW missions and experts in terms of logistics and organisation
  • Assist  in the timely  preparation and organization of meetings, workshops, seminars and events.
  • Manage the office calendar indicating  business trips,  leaves and missions.

Office Management and general coordination, focussed on the activities of KfW office Nairobi in Somalia, South-Sudan and other countries of the region:

  • Visa application / – extension of international staff and Consultants  if necessary
  • HR function including preparation of work permits and salary payments
  • Daily record of  office  expenses  in the  BBS cash  accounts  and timely  forwarding  to the Office Director
  • Handling bank accounts / account statements
  • regularly  preparation  and  submission  cash  flow  forecast;   preparation  cash  flDw review and annual budget
  • Carry out procurement of stationary and other items needed in cooperation with the KfW Office Manager

 

Competencies

  • Strong  organisation  and  administrative  skills — attention  to  detail  is essential
  • Excellent  computer  skills  —  competency  in  Microsoft  word,  excel  and  Outlook  is essential
  • Strong interpersonal and relationship maintenance skills
  • Supportive attitude, even under stress
  • Excellent verbal and written communication skills — knowledge of German would be an asset
